Who we are
The Bankes Arms Hotel is operated by Bankes Arms (Corfe Castle) Ltd (company number 16542189), 23 East Street, Corfe Castle, Wareham, Dorset BH20 5ED. We are responsible for the personal information we collect when you use our website, contact us or use our services. For accommodation bookings made through Freetobook, Freetobook and the accommodation provider describe themselves as joint controllers of booking information processed in that system.
You can contact us at info@bankesarmshotel.co.uk, on 01929 288188, or at the address above.
Information we collect
We may collect:
- Your name, email address, telephone number and the information you include when you contact us, enquire about a room, table, wedding or event, or speak to us in person.

- Information needed to manage restaurant reservations and other enquiries, such as the date, time, party size and any requirements you tell us about.
- Technical information about use of our website, such as IP address, device or browser information, pages visited and cookie preferences. If you agree to analytics cookies, Google Analytics 4 may collect information about how you use the site.
If you tell us about an allergy, disability or accessibility need, we use that information to deal with your request and provide a safe and suitable service. Please tell us only what we need to know. We will restrict access to it and not use it for unrelated purposes.

For information about health, allergies or accessibility that you choose to provide, we use it only where an additional condition under data protection law applies, such as your explicit consent or where necessary to protect someone’s vital interests. Where possible, we will discuss a practical way to meet your needs without retaining unnecessary medical details.
You may withdraw consent where we rely on it. This does not affect processing that took place before withdrawal or information we need for another lawful reason.
Bookings and service providers
We use Freetobook to take and manage online accommodation bookings. Information entered into its booking system is processed as described in Freetobook’s guest privacy notice. Payment information entered during an online booking may be processed by the payment provider connected to that system. We do not ask you to send card numbers through our contact form.
We use Brevo as an SMTP delivery service for website emails, such as messages generated when you contact us. Relevant message content and email addresses pass through Brevo to deliver those emails. We also use providers who host and maintain the website and business systems, and professional advisers where needed. We share only what is necessary for their work or where the law requires it. If the business is sold or transferred, your information may be passed to the new owner so they can continue to provide the service.
We may occasionally ask for feedback about your stay. You can choose not to take part
Cookies and analytics
Our site uses cookies and similar technology needed for basic operation and to remember your cookie choices. We use Google Analytics 4 to understand website use only where you allow analytics cookies through our cookie controls. You can reject or change that choice using the cookie settings on the website. Our cookie controls should identify the cookies in use, their purposes and durations.
A booking page or service opened through Freetobook may set its own necessary cookies and apply its own privacy information. Links to other websites are governed by their respective notices.
International transfers
Some service providers, including Google and Brevo, may process information outside the UK. Where this happens, we rely on appropriate safeguards required by UK data protection law, such as adequacy arrangements or approved contractual protections. Please contact us if you would like further information about the safeguards relevant to your data.
How long we keep information
We keep information only as long as needed for its purpose, including any applicable tax, accounting, insurance or legal requirements. Booking and transaction records may therefore be kept longer than a general enquiry. We review correspondence and delete it when it is no longer needed. Cookie and analytics retention depends on the settings of the relevant service. We can explain the retention period applicable to a particular record if you contact us.
Security
We use reasonable technical and organisational measures to protect personal information and limit access to people who need it for their work. No online system can be guaranteed completely secure.
Your rights
Depending on the circumstances, you can ask to access, correct or erase your personal information; restrict or object to its use; or receive certain information in a portable format. You can withdraw consent where we rely on it. Some rights have exceptions, including where we need to keep records to meet legal obligations. Contact us using the details above and we will respond in accordance with data protection law.
If you have a concern about how we use your personal information, please contact us first at info@bankesarmshotel.co.uk. We will acknowledge your complaint within 30 days and respond without undue delay. If you are unhappy with our response, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
